UHS Cross Country Parents Board Meeting

Meeting started at 6:04 p.m.
Attendees: Bryan Edwards (President), Lauren Stupar (Treasurer), Adam Zundell (Secretary), Sharon Kramer, Luke Whorton, Carrie Smith-Bell, Ed Frohnapfel, Kelly Zundell, Angela Gyorko, Matt West
1. Overview of XC Parents Booster Group
- Travel
- Race organization
2. Review of board officers, duties, election of new board

- Need to go to Truist bank to be signatory
- Funds dispersed to senior scholarships
- Subcategories for the year need to be filled -- Sharon Kramer will continue to do t-shirts and concessions for race day
- Kelly Zundell will assist in arranging and communicating travel arrangements for next season (hotels for Carlisle, state meet, etc.). Carlisle hotels can be difficult during Dickinson Homecoming -- (Dickinson Homecoming is Sept. 23-25 in 2022)

UHS Cross Country Parents Board Meeting

Meeting Started: 6 p.m.
Attendees: Bryan Edwards (President), Ed Frohnapfel, Carl Palmer, Matt West, Erin West, Adam Zundell, Jenny Blohm (phone), Glen Jackson (phone), Lauren Stupar (phone)
Discussion of limestone track on UHS campus
- Edwards provided some background regarding the need for a practice facility for track and cross country – students have to drive to Mylan Park (25-30 minutes) use that facility
- Sought quotes for a full track (too expensive – millions for track, bleachers, storage facility, etc.). Also sought funding assistance from Ruby McQuain Trust, Sheetz, etc., without success
- Also inquired about a cinder/limestone track in the area used for the cross country start/finish line at UHS as a more affordable route
- Quote for a limestone/cinder track came from Mountain Valley Resources LLC in Morgantown – same group that has worked on the rail/trail in Morgantown
- Quote came in at $58,750, includes 15’ x 400m track
- UHS AD Jeff Bailey supports the project, but noted that fencing will need to be done. Fencing will be an additional expense.
- Edwards has $20,000 to put towards the project from a trust he operates, and is seeking support for the UHS Cross Country Parents Group to contribute $10,000 from its reserve.
- Motion (West): The UHS Cross Country Parents Group to contribute up to $10,000 to the cinder/limestone track project at UHS. Second: Frohnapfel. Vote: Unanimous
Discussion on next steps:
- Superintendent Eddie Campbell will present the project to the Board of Education at its next meeting for approval and funding. The funding request is for the remaining balance and fencing after contributions from the UHS Parents Group ($10,000) and the contribution from the trust ($20,000).
- The group believes there are members of the Board of Education who will support the project
- Alternatives/contingencies (financing) if not approved by the BOE were discussed
- If approved, the timing of including the construction could affect hosting the middle school county championship
2021 Season
- Potential/tentative meet dates:
- HS Meet: August 24, 2021
- Middles School Meet: Sept 2, 2021 (If it were earlier, some schools may have difficulty getting their practices in.
- Course Prep:
- Shouldn’t need a lot of work, perhaps look at dates in mid-June and also toward the end of July
- Three-week live practice sessions start July 12.
